This Privacy Policy explains how Hoodco LLC, an Idaho limited liability company doing business as HoodCommand ("HoodCommand," "we," "us," or "our"), P.O. Box 2156, Pocatello, ID 83206, handles information when you use https://hoodcommand.com, the HoodCommand web and mobile application, and related tools, including the Hood Quote Flow calculator (together, the "Service"). HoodCommand is business software: our customers are hood cleaning companies, and much of the data in the Service is about their employees and clients. Questions? Email hoodcocleaning@gmail.com.
The agreement covering your use of the Service is our Terms of Service.
1. The information we collect
Account information.
When you create an account: your name, email address, password (stored securely, never in plain text), and your company's name and settings.
Team information you add.
Information about the people on your team: names, roles, phone numbers, email addresses, hire dates, certifications, and training records.
Business and job data.
The content of your work: customers and their contacts, jobs, service reports, before and after photos, electronic signatures, vehicle inspections, deficiency reports, receipts, tools, notes, and messages you send through the Service.
Location data.
When geofenced clock-in is turned on, we collect the GPS coordinates of a clock-in or clock-out and whether it happened inside your company's geofence. We collect location only at clock-in and clock-out — we do not track technicians continuously between them.
Payment information.
Subscriptions and one-time purchases are handled by a third-party payment processor. We receive your billing email and a record of what was paid; we never see or store your full card number.
Automatically collected information.
Like most software, we collect log data such as IP address, browser and device type, pages viewed, and dates and times of visits, used to operate and secure the Service.
2. How we use information
- To provide the Service: accounts, clock-ins, inspections, reports, PDF generation, and report emails to your clients;
- To send you service and operational notifications, including text-message alerts if your company turns them on;
- To bill for subscriptions and purchases and handle renewals and cancellations;
- To provide support and respond to your requests;
- To improve the Service, including through aggregated, de-identified usage data;
- To protect the Service, prevent abuse, and comply with the law.
We do not sell your personal information, and we do not use your data to advertise to anyone else.
3. Who can see your data
Data is kept separately per company. Within your company, what each person sees depends on their role: technicians see their own work, while managers and owners can see their team's data. Customers you designate can view a public "compliance passport" page for their location only if you turn that link on.
HoodCommand staff can access account data only to provide, secure, and support the Service — for example, to fix a problem you report.
4. How we share information
We share information only with:
- Service providers that help us run the Service: hosting and storage, payment processing, email delivery, and text-message delivery;
- Sign-in providers you choose, such as Google Sign-In;
- Integrations you connect yourself, such as Jobber — data flows to a third party only when you enable that integration;
- Authorities, when the law requires it or to protect rights, safety, and security;
- A buyer or successor, if Hoodco is ever merged, acquired, or sells its assets (this Privacy Policy would continue to apply to your data).
5. A note for employees about location data
If you work for a HoodCommand customer: your employer decides whether geofenced clock-in is on and controls your data. Your location is recorded only when you clock in or out, and only so your employer can confirm you are at the shop or job site. We do not sell this data or use it for advertising. To access, correct, or delete your information, contact your employer first — we will follow their direction and the law.
6. How long we keep information
Trial data: if a trial ends without subscribing, we keep the data for [30] days so you can subscribe or export it, then delete it.
Customer data: after an account is cancelled, we keep the data for [90] days so you can export it, then delete it. Backups may retain data for a short additional period before it is permanently removed.
Billing records are kept as long as tax and accounting laws require.
7. Your choices and rights
Account owners can export reports and data while the account is active, correct information in the app, and delete records. You can request access, correction, export, or deletion of your personal information at any time by emailing hoodcocleaning@gmail.com. Employees of a HoodCommand customer should contact their employer, who controls the data. We will honor requests as required by applicable law.
8. Security
We use encryption in transit, access controls, and scoped permissions to protect information. No method of storage or transmission is perfectly secure, and we cannot guarantee absolute security. If we learn of a breach affecting your data, we will notify you as the law requires.
9. Children
The Service is for businesses and is not directed to anyone under 18. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this Privacy Policy. We will post the updated version with a new "Last updated" date, and for material changes we will notify account owners by email or in the app.
